DWG Register (the Service) is operated by Crypto Pit Pty Ltd (ACN 623 384 154, ABN 63 623 384 154) trading as DWG Register (we, us). By signing up for, or using, the Service you agree to the Terms of Use below. Our Privacy Policy explains how we handle personal information. If you sign up on behalf of an organisation, you confirm that you have authority to accept these terms for it.
Part A: Terms of Use
1. The Service
DWG Register is a web-based drawing register. It lets you store drawings and their revisions, group them by project, manage change requests, send transmittals and keep an audit log. We host it and you use it through a web browser.
2. Your account
- The person who signs up is the account owner. You must give accurate details and keep them up to date.
- The account owner is responsible for the users they add, the access levels and project access they give those users, and everything done under the account.
- Each user must have their own login. Do not share passwords.
- Tell us straight away at support@dwgregister.com if you think someone has accessed your account without permission.
3. Free trial, fees and payment
- Every new account starts with a 30-day free trial with full access. You do not need to enter a payment card to start the trial.
- After the trial, the subscription fee for the plan shown on our pricing page (monthly or yearly) is payable. It is charged to the payment card that the account owner saves in the account's billing settings. Prices are shown on the pricing page, and your invoices show what you were charged.
- Card payments are processed by Stripe. Your card details go directly from your browser to Stripe, and we do not store full card numbers.
- The optional AI add-on (AI Title-Block Pre-fill and Bulk AI Drawing Import) is an extra fee shown on the pricing page. The account owner can add it in the account's billing settings at any time, including during the trial. When it is added part-way through a billing period, the fee for the rest of that period is charged straight away, and from then on it is added to each payment. Turning off renewal keeps the add-on until the end of the period already paid. If a payment fails, the add-on ends when the period it was paid for ends.
- If no card has been saved, or a payment fails, the fee is unpaid. When a payment is overdue, access to the account is restricted (users see a "Payment Pending" message) until the account owner pays.
- We may change our prices. We will tell the account owner in advance, and the new price applies from the next billing period.
4. Cancelling
- The account owner can cancel at any time, either by deleting the account in the account settings or by emailing us. Cancelling stops future charges.
- Deleting an account is permanent. The account's users, database and uploaded files are removed from our live systems straight away and cannot be recovered. Export what you need first; the Excel and ZIP downloads are available for this.
- Fees for a billing period that has already been paid are not refunded when you cancel, except where the law requires otherwise.
5. Your content and your responsibilities
- You own the drawings, files and other information you put into DWG Register (your content). You give us permission to store, copy, process, display and send it as needed to run the Service for you, for example to create watermarked copies, send transmittal emails, back up the Service and give you support.
- You are responsible for your content, for having the right to use and share it, and for making sure that the people you send drawings to are entitled to receive them.
- DWG Register is a record-keeping and distribution tool. It does not check that a drawing is technically correct, and a status such as "Approved" records a decision made by your people. You remain responsible for your document-control processes and for confirming a drawing's revision and status before it is used for construction, manufacture or any other purpose.
6. Acceptable use
You must not:
- modify, copy, reverse engineer or interfere with any part of the Service, or use any automated system (other than features we provide) or malicious code against it;
- upload files that you do not have the right to use, or that are malicious (such as viruses), fraudulent, defamatory, threatening, discriminatory, obscene or otherwise unlawful;
- try to reach another account's data, bypass access controls, or test the security of the Service without our written permission; or
- put excessive load on our servers or cause a degradation or disruption of the Service. We may suspend access to an account if we believe its activity is causing a disruption.
7. Optional AI features and third-party processing
DWG Register has two optional features that use artificial intelligence (AI) from OpenAI. They are available only with the AI add-on (section 3), and work only on the files you choose to submit. We ask OpenAI not to store these requests.
| AI Title-Block Pre-fill |
When you choose Auto-fill from Drawing on the add-drawing page, the PDF or image you select (up to 10 MB) is sent to OpenAI, which reads the drawing's title block and returns suggested values for the number, title, revision, author and date. |
| Bulk AI Drawing Import |
The PDFs you select are uploaded to a private, encrypted staging area on Amazon S3. Amazon Textract reads each PDF, and the text it extracts is sent to OpenAI to suggest register details. The original PDFs and the review data are kept for seven days after the batch is completed or cancelled, and are then scheduled for deletion. |
Please note:
- Third-party processing. OpenAI processes the content you submit on its own systems, which may be in the United States or other countries, under its own terms and privacy policy. We cannot control how it operates its systems.
- Confidential drawings. Do not use these features for drawings that you are not allowed to send to a third party, for example drawings covered by confidentiality obligations, security classifications or export-control restrictions that do not permit it.
- Suggestions can be wrong. Nothing is added to your register until you review and save it, and you remain responsible for the accuracy of what you save.
- Your choice. If you do not want these features used with your content, do not use them. Your administrator can turn off AI Title-Block Pre-fill in Admin > Configuration, and you can ask us to turn off either feature for your account.
8. Availability and your own copies
We work to keep the Service available and secure, and we take reasonable steps to protect and back up your data. The Service may nonetheless be unavailable from time to time, for maintenance or for reasons outside our control, and we cannot guarantee that it will be uninterrupted or error-free. Please keep your own copies of important drawings and records. To the extent the law allows, we are not liable for any loss you suffer as a result of equipment failure, data loss or unscheduled downtime.
9. Our liability
- Nothing in these terms excludes, restricts or modifies any right or remedy, or any guarantee, that the law (including the Australian Consumer Law) gives you and that cannot lawfully be excluded. Where the Service is not supplied for personal, domestic or household use, our liability for breach of such a guarantee is limited, at our option, to supplying the Service again or paying the cost of having it supplied again.
- Subject to that, and to the fullest extent permitted by law, Crypto Pit Pty Ltd, its directors, employees and service providers give no warranty about the completeness, accuracy or reliability of the Service or of any site linked to it, and are not liable for indirect or consequential loss, or for loss of profit, revenue or business opportunity.
- Subject to the first point, our total liability to you for all claims connected with the Service in any 12-month period is limited to the fees you paid us in that period.
10. Indemnity
You indemnify us and our service providers against any claim, loss or cost brought by a third party that arises from your content or from your breach of these terms.
11. Suspension and ending
We may suspend or end access to an account if you breach these terms, do not pay, or if we reasonably believe the account is a security risk or is harming the Service or other people. We will give notice where that is practical, but we may act immediately where we need to protect the Service or comply with the law. If we end an account because of your breach, fees already paid are not refunded.
12. Changes to these terms
We may update these terms and the Privacy Policy from time to time. The "last updated" date above shows when they last changed. If a change is material, we will tell the account owner by email or in the app. If you keep using the Service after a change takes effect you accept the updated terms, and if you do not agree you may cancel your account.
13. General
These terms are governed by the laws of Western Australia, and each party submits to the courts of Western Australia. These terms and the pricing page are the whole agreement between us about the Service. If a part of these terms is unenforceable, the rest still applies.
Part B: Privacy Policy
This policy explains what personal information we collect through DWG Register, how we use it, who we share it with and the choices you have. We handle personal information in line with applicable privacy law, including the Australian Privacy Principles where they apply.
What we collect
- Account and sign-in details: names, email addresses, usernames and passwords (passwords are stored as one-way hashes), and the access levels given to each user.
- Your content: the drawings, files, projects, change requests, transmittals and recipient details (such as names and email addresses) that you and your users enter. You are responsible for having the right to provide any personal information in your content.
- Activity records: an audit log of who did what and when in your account, sign-in and security events, and training progress and certificates.
- Billing information: a Stripe customer reference, the card type and last four digits shown on receipts, and your invoice and payment history. Your full card number is held by Stripe, not by us.
- Emails and support: notification and transmittal emails sent through the Service, and your correspondence with us.
- Website and device information: pages visited, browser and device details and approximate location, collected through the analytics and session-recording tools described below.
How we use it
We use personal information to provide and secure the Service, sign you in, send the emails and transmittals you ask for, take payment, give support, keep records, understand and improve how the Service is used, and meet our legal obligations. We do not sell personal information, and we do not give your email address to third parties for their marketing.
Who we share it with
We share information only as needed to run the Service:
- Other users in your account, according to the access levels and project access set by your account owner, and the recipients you choose when you send a transmittal or notification.
- Our service providers, listed below.
- Our support staff, who may access an account when needed to give support or investigate a problem.
- Anyone else where the law requires it, or with your consent.
| Provider | What it does for us |
| Amazon Web Services | Database and file storage, email delivery, and (for Bulk AI Drawing Import) Amazon Textract to read PDFs. Our data is held in the AWS US East (N. Virginia) region. |
| Stripe | Card payments and subscription billing. |
| OpenAI | AI Title-Block Pre-fill and Bulk AI Drawing Import (both optional). Receives the PDF or image you submit for title-block reading, and text extracted from the PDFs you submit for bulk import. |
| Google Analytics | Website usage statistics on our public pages (home, features, pricing, sign-up and error pages). |
| Smartlook | Session recording that shows how pages are used (clicks, scrolling and page views) so we can find and fix usability problems. It runs on our public pages and inside the app, so a recording may capture information that is displayed on screen. Please contact us if you have a concern. |
Overseas disclosure
Our database, file storage and email delivery are on AWS in the United States. The other providers above may also process information in the United States or other countries. When you use the optional AI features, the content you submit is processed by OpenAI as described in section 7.
Cookies
We use a session cookie that is needed to keep you signed in. Google Analytics and Smartlook may set their own cookies or similar identifiers. You can block or delete cookies in your browser settings, but the Service will not work without the sign-in cookie.
Security
We protect the Service with encrypted connections (HTTPS), one-way password hashing, a separate database for each account, access levels, optional project access control and an audit log. Account owners can also turn on two-factor sign-in. No system is completely secure, so please use strong passwords and tell us promptly if you suspect a problem.
How long we keep information
- We keep your content and activity records while your account exists.
- When an account is deleted, its users, database and uploaded files are removed from our live systems straight away. Copies in system backups may remain until those backups expire.
- Files and review data staged for Bulk AI Drawing Import are kept for seven days after the batch is completed or cancelled, then scheduled for deletion.
- We keep billing records for as long as the law requires, and limited security and support records for as long as we reasonably need them.
Your choices and rights
You can ask us for access to the personal information we hold about you, or ask us to correct it, by emailing support@dwgregister.com. Users of an account may need to make the request through their account owner, because the account owner controls the account's content. If you have a privacy complaint, contact us and we will respond. If you are not satisfied, you may complain to the Office of the Australian Information Commissioner (oaic.gov.au).
